How it works
The athlete is registered by their sports club.
- Open the event on Smoothcomp.
- Click Register.
- Fill in the coach’s details and upload the athlete’s signed Athlete Declaration Signature Sheet (PDF).
- Choose the discipline(s) and weight class.
- Confirm the registration by 30 September 2026, 23:59 (Tallinn time).
The same instructions as a document:
Registration Instructions (PDF)Athletes
You upload exactly one document. Everything medical goes by e-mail through your club's medical contact.
What you upload: one document
Read the Terms & Information (one printed copy per team is enough), then complete and sign the Signature Sheet (one per athlete, digi-sign or print-sign-scan) and upload it in Smoothcomp.
Athlete Declaration — Terms & Information (PDF) Athlete Declaration — Signature Sheet (PDF)Medical documents: sent by your club's medical contact
Medical documents are not uploaded at registration and not brought on paper. Each registering club names one medical contact, who e-mails the whole team's documents to medical@theclash.ee by 7 October 2026 — preferably one combined PDF per athlete containing all their documents, named Firstname_Lastname.pdf. Separate files are also accepted if clearly named in the form Documenttype_Firstname_Lastname.pdf; the exact file names are in the table below.
| Document (file name) | Who needs it | Validity |
|---|---|---|
| Clash medical examination form, completed by a licensed doctor — adult form for athletes 18+, U18 form for minors with parent/guardian countersignature. Download both forms below. (Medical_Certificate_Firstname_Lastname.pdf) | Everyone | Issued within the last 12 months before 20.10.2026 |
| Blood test: HIV 1/2 Ag+Ab, HBsAg, HCV Ab. Negative, on laboratory letterhead with signature. (Bloodtests_Firstname_Lastname.pdf) | MMA: athletes 18 and older · Muay Thai: athletes 16 and older | MMA: taken within the last 12 months · Muay Thai: taken within the last 6 months |
| Dental brace certificate from your orthodontist. (Dental_Certificate_Firstname_Lastname.pdf) | K-1 athletes with braces | Current |
- K-1 athletes need no blood test.
- Competing in both MMA and Muay Thai? Take the blood test within the last 6 months, then one test covers both.
- Incomplete or late documents risk exclusion; there is no on-site document processing or testing. At accreditation athletes show only their photo ID.
Athletes under 18: for the parent or guardian
Before signing anything, read the Risk Information Sheet. In the declaration you confirm that you have read it.
Risk Information Sheet for Parents (PDF)A parent or legal guardian completes and signs the Universal Athlete Declaration for the athlete. Athletes aged 12–17 also sign their own assent line. Guardian contact details are required and must be reachable on competition days.
Coaches and team staff
Every team member who needs festival access — coaches, cornermen and support staff — registers in Smoothcomp under Coaches & Team Staff (role, club, contact details) by 30 September 2026.
One club package: one team member e-mails all of the club's team documents together to info@theclash.ee by 30 September 2026 — the team list, each member's signed Coach Declaration (form on this page), and every member's criminal-record extract (issued within the last 12 months).
Coach Declaration (PDF)File names: preferably one combined PDF per person, named Firstname_Lastname.pdf; separate files are accepted if clearly named (Coach_Declaration_Firstname_Lastname.pdf, Criminal_Record_Firstname_Lastname.pdf). Nothing is brought on paper to the venue; verification happens before the event.
Verified team members receive a wristband at accreditation, giving festival access including the corner area; during a match, a maximum of two team members work the athlete's corner at any time. Without the documents there is no wristband and no access to the festival.
Clubs registering athletes: the Universal Athlete Declaration is signed by the athlete personally, or by their parent for under-18s. An unsigned or club-signed athlete declaration is not valid.

Visa invitation letters
Estonia is a member of the European Union and the Schengen area. Citizens of the EU, EEA and Schengen countries need no visa to enter Estonia. Citizens of other countries may need a Schengen visa — check the requirements with the Estonian embassy, or the embassy representing Estonia, in your country of residence.
What our letter is
On request, the organiser issues an invitation letter confirming that the named person is registered for The Clash: European Combat Sports Festival, 20–24 October 2026, Unibet Arena, Tallinn, and in which role.
The letter does not guarantee a visa — the decision is made solely by the consulate. The organiser does not act as a financial sponsor or guarantor: travel, accommodation, insurance and all other costs of the stay are borne by the participant or their club. The organiser does not register formal visa invitations with the Estonian Police and Border Guard Board.
Who can receive a letter
- Athletes who have completed their registration on Smoothcomp, including the signed Athlete Declaration.
- Team officials (coaches and cornermen) who accompany a registered athlete from their club and have submitted the coach package (team list, signed Coach Declaration, criminal-record extract). Letters for team officials are issued in reasonable proportion to the number of athletes, normally one official for every two athletes and at least one per team.
We do not issue letters to supporters, family members or other persons without a role at the competition.
How to request a letter
Send the request to info@theclash.ee by 30 September 2026. Include, for each person:
- Full name exactly as printed in the passport
- Date of birth
- Passport number and expiry date
- A scan of the passport photo page
- Role (athlete, coach or cornerman) and club
- Planned arrival and departure dates
- The embassy or consulate where the application will be submitted
For athletes under 18, the letter is issued only when a parent or legal guardian has signed the registration documents.
We issue letters within three working days of receiving a complete request. Letters are sent as signed and stamped PDF documents.
Verification and attendance
Before issuing a letter we may verify the information with the national federation, the club or through the athlete's competition record, and ask for additional documents. The organiser may decline a request without giving reasons. A letter is withdrawn if the registration is cancelled or if the information provided proves to be incorrect, and the consulate is informed.
Every participant collects their accreditation in person with the passport named in the letter. The organiser records attendance and may inform the consulate that issued the visa, and the Estonian Police and Border Guard Board, if a person who received an invitation letter does not attend the event.
Passport data is used only to prepare and verify the invitation letter and to confirm attendance. It is processed as described in the Event Privacy Notice (see Legal and privacy below).

Yes. But the declaration must be signed by you, or by your parent if you are under 18. A form uploaded without a signature, or signed by the club, is not valid.
-
Register for each discipline in Smoothcomp; one signed declaration covers them all. If your disciplines are MMA and Muay Thai, take your blood test within the last 6 months so one test covers both.
-
Print the declaration, sign it by hand and upload a scan or clear photo. You confirm your signature in person at accreditation.
-
No — any licensed doctor can issue it, your family doctor / GP is fine, and no national sports certificate is required. The doctor completes, signs and stamps The Clash medical examination form (18+ version, or U18 with parent co-signature), issued within 12 months before 20.10.2026. MMA athletes 18+ also need the blood test within the last 12 months and Muay Thai athletes 16+ within the last 6 months; K-1 needs no blood test. Nothing is uploaded or brought on paper — your club's medical contact e-mails everything to medical@theclash.ee by 7 October 2026. If your own federation requires its own sports certificate for insurance, that is separate from our requirement.
-
Athletes represent their club — the club is what appears in registration, brackets and results. If your federation wants a delegation from several clubs to appear under one flag, those clubs can be linked under an Affiliation in Smoothcomp; affiliations are created by Smoothcomp support (support@smoothcomp.com).
-
Through Smoothcomp's Coach Manager, one person per club. Create a free Smoothcomp account and create your club's academy — or join the existing one, don't create a duplicate — and turn on member approval in the academy settings. Then open the event, click Register and add each athlete: existing accounts appear under Existing users, for the rest use Create a new user (each needs a unique e-mail; a parent's e-mail for under-18s). For each athlete fill in the coach's details, pick the discipline(s) and weight class and upload their signed Signature Sheet. Complete everything by 30 September 2026, 23:59 (Tallinn time) — entry is free.
